For opening the library, follow this checklist:
1. Call DPS at 859-233-8118 to let them know that you are opening the library. Ask them to come & turn off the alarm.
2. Use the manager key to unlock the outer doors and enter the glass vestibule to wait for DPS.
3. Your Crimson Card will let you in during posted building hours (1pm on weekends), but wait for DPS to arrive and give you the all-clear.
3. Immediately, turn on the panel of lights located to the right of the main entrance, between Phil and Katrina's offices -- this panel turns on the main floor lights on the active and quiet sides.
4. Once a second person arrives, walk through the library to turn on the rest of the lights: top of the spiral stairway, in the stacks, and throughout the lower level. As you walk through the library, pick up any books or periodicals found lying around and bring to the circulation desk for check-in as a non-loan return item. Collect and dispose of any trash or recycling.
5. Make sure that the printer station is stocked with paper, staples, and that the printer is working. Check to see if the printer need of ink or if it is jammed. Fix or report any problems to lbird@transy.edu.
6. If you notice a problem that needs immediate attention, for example, a leaking pipe, please report it to DPS. They will contact on-call facilities help. If you see a situation that can wait, for example, a burned out lightbulb, please report it to the appropriate full-time staff member via email.
7. Review the Daily Checklist on the front desk and complete tasks appropriate for your shift and staffing level (if 2-3 people are working). There may sometimes be additional tasks, such as tracking library use, that we ask you to complete.
When there are two students at the circ desk, ask one student to work on one of the following maintenance tasks. Be fair and balanced in the amount or work and time alloted to each student so that no one feels the work is put solely upon him alone. As a general rule, 30 minutes of one activity is enough time away from the desk for most student workers.
A - HC, basement
HD - PQ3999, 1st fl.
PQ4000 - Z, 2nd fl.
When closing the library, follow these steps and use the checklist on the desk to show that they are complete:
Student managers: please divide the tasks with work study students and take turns completing them. One person should stay at the desk at all times to monitor the entrance.
1. In the evening, shut the doors to the cafe/Admissions area and make sure that the outer door is locked. This door should always be closed at night and on the weekends, but please double-check.
2.. 15-20 minutes before closing: Straighten the circulation desk area. Unplug the space heater or turn off the fan, if in use. Then, walk through the main floor, stacks, and lower floor of the library. Let patrons know what time the library closes, and make sure that they have left the different sections of the library before you turn off the lights in that area.
As you walk around the library, dispose of trash/recycling, and collect any books or periodicals left out. Bring the books to the circulation desk and check them in as "non-loan return" items. Make sure that windows are closed and locked, especially on the lower level.
If you notice anything that will need attention the next day, for example, a mess that requires housekeeping, please email the morning supervisor. If you notice anything that needs immediate attention, for example, a leak, please call DPS at 8118.
3. 5-10 minutes before closing: Make sure all patrons are leaving/have left. Turn off all lights in the stacks, and in the spiral stairwell leading to lower level. Turn off all lights in the lower level, including ACE, Writing Center, Computer Lab, Testing Room, Active Learning Classroom and BCTE. Double check that windows are closed and locked in the ACE, basement stacks, classrooms, and any other ground level area.
Note - There are labeled safety lights that stay on all the time.
4. At closing time: Confirm visually and with fellow workers that all patrons have left the library - especially be sure that no one is in the fishbowl, stacks, or study rooms. Make sure that the restrooms are empty on both levels.
5. Turn off the main panel of lights to the right of the main entrance, between Phil and Katrina's offices (this turns off circulation, reference area, and quiet side lights). Turn off the decorative circulation desk light (behind the desk, under the tall countertop)
6. Call DPS to let them know you are closing and that they should come and set the alarm. Lock the outer set of glass doors by turning the latch all the way to the right. Make sure that you hear the lock catch (you may have to jiggle the lock up and down to ease it). This lock can be tricky; if you have any trouble, let DPS know.
The manager and student workers should leave together via the cafe exit. Double check that the cafe door is locked.
If you would like DPS to escort you back to your car or dorm, please ask them to do so, and let them know which exit you will wait at.
